Formal letter template

Formal letters still matter for the situations where a record is the point — complaints, notice, appeals, anything you may need to refer back to. This template lays out sender, recipient and date in the conventional order and leaves the rest to you.

**Subject: Formal complaint regarding account 4429-1183**

Dear Sir or Madam,

I am writing to make a formal complaint about the billing on the above account between November 2025 and February 2026.

Over that period I was charged the standard variable rate despite having a fixed-rate agreement confirmed in writing on 12 October 2025, a copy of which I enclose. The overcharge amounts to £248.60. I have raised this by telephone on three occasions — 8 January, 22 January and 14 February — and on each occasion was told the account would be corrected within ten working days. It has not been.

I am asking for the account to be corrected to the agreed fixed rate, the overcharge of £248.60 to be refunded, and written confirmation that the fixed rate will apply for the remainder of the agreed term.

If I do not receive a substantive response within fourteen days I will refer the matter to the energy ombudsman.

Yours faithfully,

Jordan Avery

**Enclosed:** copy of fixed-rate confirmation dated 12 October 2025

Frequently asked questions

What is the correct layout for a formal letter?
Your address, then the recipient's, then the date, then a subject line, then the salutation and body. Close with 'Yours sincerely' when you know the recipient's name and 'Yours faithfully' when you don't.
Should I include a subject line?
For anything that may be filed or forwarded, yes. It makes the letter findable later, which is usually why the letter exists.
Can I keep a copy?
The PDF is generated on your machine and downloaded straight to it. Nothing is uploaded, and drafts stay in your browser until you delete them.
